Job Description

The Director of Operations is a critical role at Vega Collegiate Academy. Responsible for handling vendor relationships with APS in multiple forms including IT, Transportation, and Food Service, as well as supporting operations, finance, facilities, HR, and transportation components of the school, ensuring state and federal compliance at all levels at all times.

Job Responsibilities


Mange alarm system, including remote setting, disabling/arming, app management, and responding to calls and appearing on-site as needed for an alarm occurrence
Manage video surveillance system including vendor relationship, management of, and compliance with safety/security laws and regulations
Oversee custodial staff to ensure appropriate cleanliness levels are maintained on a daily basis
Includes managing relationship with trash and recycling through Republic Services
Schedule and oversee deep cleaning during school break periods
Primary contact with UBG and future vendors regarding building maintenance, including elevator inspections/repairs, plumbing, electrical, etc.
Hire and oversee snow removal company during winter months
Oversee management of facilities grounds, including mowing, landscaping, etc.


Track supplies including daily classroom and storage room checks
Supply inventory completed on a daily basis
Updated supply ordering completed daily
Ensure health department certificate is completed and secured yearly and is posted in the kitchen
Manage relationship with APS nutrition services, including site visits
Coach Office Manager/Registrar
Oversee IC and October Headcount including attendance, enrollment procedures, student requests, etc.
Provide updates in weekly email as appropriate
Update Operations Manual annually as needed
Attend IC trainings with registrar as required


Oversee petty cash management and systems
Oversee PO and supply request system
Approve POs as appropriate, including ordering of items
Track and manage credit card receipts, including uploads to cloud
Manage relationship with G&G, including attending weekly meetings
Oversee reimbursements through BambooHR and bill.com
Attend monthly business manager network meetings through the League of Charters


Manage vendor relationship with Abstract Insights
Renew and Manage GoGuardian
Update and monitor all student platforms including but not limited to: Infinite Campus, Student emails, SchoolRunner, STEP, Accelerated Reader/Renaissance, IReady, NWEA MAP, Testing Strategies GOLD, etc.
Update and monitor all employee platforms including but not limited to: Google Chat, Apex, Infinite Campus, SchoolRunner, STEP, etc.
Track management of devices for students and staff including chromebooks, laptops, cell phones, etc.
Track and manage all IT components in BarCloud

Human Resources

Oversee relationship with Epic, including annual renewal meetings, COBRA, health insurance, facilities insurance, etc.
Update employees in BambooHR with appropriate hiring paperwork, including CBI background checks, fingerprints, MVR, etc.
Lead annual training related to HR including PERA, bill.com, health insurance, COBRA, etc.
Oversee talent management including offer letters, Letters of Agreement, salary increases, daily rate of pay email, onboarding, offboarding, etc.
Track PTO and attendance for all employees
Oversee employee onboarding and offboarding
Create and update HR Internal Handbook
Update Staff Handbook as appropriate
Submit payroll, including tracking of stipends and hourly pay
Oversee job postings and vendor relationship management, including Teach for America, Indeed, Hirevue, etc.
Ensure employees have appropriate access to Infinite Campus, Paylocity, etc.
Ensure all employees are entered into Apex upon hiring, and that accounts are complete prior to CDE deadline
Track, manage and execute employee training on required elements including: Mandated Reporter, CPI certification, Title IX training, CPR, etc.
Update website with new staff photos, bios, etc.
Update website with Title IX training and data usage information annually or as needed
Maintain contact with Tim Farmer, attorney, regarding annual federal and state updates including PTO mandates, FMLA, etc.
Work with League of Charters as needed to support HR annual review and ensure compliance at all times with state and federal guidelines, including mid-year updates and reviews as needed
Ensure required posters per state and federal guidelines are posted in appropriate rooms
Manage salary negotiations with new and returning employees


Hire, train, and retain bus driving staff
Plan out and execute routes for all students enrolled in transportation
Communicate with families re: pick up stops, times, etc.
First point of contact for bus delays or transportation challenges
Ensure buses are compliant with yearly CDE updates
Manage relationship with APS transportation
First on-site for bus safety incidents, including accidents and student referrals
Create and update as appropriate Staff Transportation Manual
Create and update as appropriate Student Transportation Manual
Oversee relationship with bus leasing to secure white buses annually, including pick up and drop off, cleaning, etc.

3-5 years of HR experience preferred
3-5 years of management/leadership experience preferred
Bachelor’s Degree (Master’s Preferred)

Salary and Benefits

Vega Collegiate Academy offers a competitive salary and comprehensive health benefits package. The salary range for this role is $50,000 to $90,000

Start Date

Vega Collegiate Academy staff can begin immediately upon hire conditions.
