Operations Manager Elm Community Charter School is seeking an innovative Operations Manager who understands that at the foundation of high quality education is a beautiful, safe, orderly, organized, and systematic environment that promotes discovery and learning. Reporting to the Director of Operations is expected to drive multiple operations projects, in addition to coordinating and supporting the School’s daily operations and facilities. Through the strong management of an operations team, Elm’s Operations Manager will provide our students with a dynamic educational experience.

Responsibilities:

Oversee main office and daily school operations (~40%) ● Manage the School Office Coordinator and supports main office systems and operations; ● Manages student transportation including arrival, dismissal, and field trips; ● Manages the school’s Food Services program; ● Manages After School Program including budget, classroom arrangements, and partner organization oversight; ● Manages the facilities maintenance and custodial services to ensure a safe and clean building ● Manage procurement and inventory of school supplies (e.g. technology, furniture, supplies) ● Maintains inventory of all school assets, including furniture, technology, books, etc.; ● Manages the school’s emergency exit and lockdown procedures and protocols; scheduling of fire drills in accordance with state law; ● Creates an office space and culture that is welcoming, organized, and accessible to all stakeholders including staff, learners, families, and partners;

Manage student information system and student records (~15%) ● Manages the student record keeping systems in line with state rules and regulations, including healthy and safety laws, teacher certification, city and state mandates, and all state and federal workplace regulations; ● Become expert in managing ATS and student information system (School Runner)

Support student recruitment and lead enrollment process ● Support Director of Operations with meeting enrollment targets ● Manages student enrollment process including application, lottery, waitlist, transfer, withdrawal process, and monitoring of accurate ATS records; ● Become expert in managing school enrollment portal (SchoolMint)

Family Communication & Outreach ● Collaborates with Director of Operations in creating effective and efficient communications to all stakeholders, and creating smooth and efficient in-school systems; ● Implements and manages communication systems with families (e.g. newsletters, mailings, flyers) ● Responds to general school inquiries via phone, in person, and email with urgency and thoughtfulness; ● Advocating for all policies, procedures, and communications across the school community to drive student outcomes; ● Establishing and maintaining successful relationships within all members of the school and building partners to drive the goals our school community; ● Acting liaison between Parent Association and the School;

Miscellaneous school support ● Key partner in planning/executing school-family events and involvement, including family nights and school tours ● Helps plan and host on-campus and off-campus school events, including student field trips ● Support marketing efforts by providing information for website and managing collateral ● Manages school Social Media accounts (Instagram and Facebook) ● Establishes and maintains successful relationships with all members of the schools, builds partners to drive the goals of our school community;

Skills and Qualifications ● A minimum of 2 years of experience in professional operations experience, preferably in a charter school; minimum 1 year of supervisory experience; ● Fluency in Spanish strongly preferred; ● Proficiency in Microsoft Excel, PowerPoint, Word, and Outlook required ● Ability to self-direct, prioritize and multi-task among competing goals ● Comfort with working in a fast-paced, entrepreneurial environment ● Demonstrated ability to work well with others and build relationships across teams ● Excellent written and verbal communication skills with keen attention to detail ● Demonstrated knowledge of charter school compliance; ● Unquestioned integrity and alignment to Elm’s mission, core beliefs, and educational philosophy.
